Bidding Process & Timeline

Step 1. OPENING OF THE BID
Month 1

Opening of bidding process by TAFISA. The bidding and application documents, official deadlines and guidelines to apply are widely disseminated and published on TAFISA’s website. Note: organisations and cities interested in hosting a TAFISA event are welcome to contact TAFISA prior to this date to express their interest and initiate discussions.

Step 2. EXPRESS YOUR INTEREST
Months 1 to 9

Parties thinking of hosting TAFISA Events send to TAFISA an expression of interest letter. They receive, in return, the event’s guidelines, which provides key elements to help build the bid and plan for the event.

Step 3. SUBMIT APPLICATION
Months 1 to 15

Submission of application documents by interested parties. Application documents include, but are not limited to:

  • Application form
  • Letter of support from national authorities (government)
  • Letter of support from local authorities (host city)
  • Event budget forecast
  • Event delivery proposal

Step 4. SITE INSPECTIONS
Months 6 to 16

Site inspection(s) by TAFISA, visit of venues, working meetings and high-level meetings on invitation of the bidding party.

Step 5. SIGNING OF PRE-CONTRACT
 

Signing of pre-contract, following the receipt of application documents. The candidate then is given the title of “Official Bidder”. The pre-contract will only become valid if the candidate is elected as part of Step 6.

Step 6. OFFICIAL BIDDING CEREMONY
Month 18

Official bidding ceremony: presentation of their bids by the candidates and awarding of event to elected host by the TAFISA General Assembly.
